Facilities Manager

  Purpose of the Role Manage all aspects of the workplace to ensure quality service offered to visitors and staff is at all times in a manner consistent with Company's image as a leading professional corporate organization in Kenya
  Minimum Requirements Experience in Facility management, engineering, business administration or relevant field
A Education BSC/BA in facility management, engineering, business administration or relevant field
B Relevant Previous Experience Proven Experience as a facilities manager or relevant position.
Well versed in technical/engineering operations and facilities management best practices
C Business Understanding: Have an understanding of the transport industry / similar field

1) Weekly reporting by compiling checks carried out in the week across branches
2) Compile and analyze monthly costs and advise on trends and areas of improvements.
3) Meeting demand production schedules to ensure contractual turnaround time commitments are achieved.
4) Work with the branch managers / regional managers with an aim of ensuring uniformity in office outlook and in service provision across the board
5) Ensuring that monthly company bills in Nairobi yard, Mombasa yard and branches are paid on time (Electricity, Water bills etc.)
6) To get information from the supervisors on a daily basis from branch level on any issues and share with the operations team on a weekly basis.
7) Assets tagging per branch
8) Planning and coordinating all installations and refurbishments
9) Managing the upkeep of equipment and supplies to meet health and safety standards
10) Inspecting buildings’ structures to determine the need for repairs or renovations
11) Review utilities consumption and strive to minimize costs
12) Supervise all external facilities staff ( Security guards, Cleaners, Cook etc.) and external contractors
13) Control activities like parking space allocation, waste disposal, building security etc.
14) Allocate office space according to needs
15) Handle insurance plans and service contracts on a need basis (Company license etc.)
16) Any other duty that may be given by your supervisors /managers

Clearing and Warehousing Manager

Functional Skills
1) To fully understand the various clearance services offered by the company which includes
Imports, Exports, Transport, Warehousing, freight forwarding, etc.
2) Strong analytical and mathematical skills for preparation of quotations.
3) Market analysis of Import and Export data and trends for use in business development and new sales generation.
4) Preparation and control of budgets as well as Operational costs for maximizing profits.
5) Ability to calculate revenue and costing for all cargo handled in order to get the profitability of the same.

Critical Non-Negotiables
1) Must have worked in a busy logistics/ clearing & forwarding company for at least 5 years in a senior position.
2) A thorough knowledge and understanding of the local and international customs laws and
requirements including statutory requirements to avoid risks of company closure and penalties.
3) Knowledge of International freight forwarding
4) Conversant with Escuda & Simba system will be an added advantage

1) Identify opportunities for business growth and sourcing of new clients for Vantage Point Clearing as well as the trucking and warehouse departments.
2) Ensure effective communication with the operations team to about client needs and agreed terms for the contract.
3) Manage and oversee the day to day operations for airfreight/sea freight/warehouse/ Bond
Management, licensing and transport services to ensure timely delivery of services to clients.
4) Ensure complete, timely, accurate and relevant documentation is available for the preparation and processing of documents in the system.
5) Ensure correct error free entries are made in the customs system (s) at all times
6) Ascertain all statutory requirements are adhered to in all the clearance processes to avoid delays and penalties from the respective government agencies.
7) Ensure all cargo is cleared within the free period or within the shortest period where no storage charges are levied.
8) Evaluate the profitability of each shipment assignment before signing up
9) Monitor the profitability of shipments and investigate any discrepancies that may arise due to operational hiccups.
10) Devise strategies and processes that maximize profits and at the same time reducing costs for the company.
11) Ensure client invoices are prepared and dispatched within 48 hours of completion of shipments and in advance for cash clients.
12) Monitor the debtors’ and creditors’ ledgers for payment within the agreed periods.
13) Create Standard Operating Procedures (SOPS), Transport contracts and Service Level Agreements (SLAs) with clients and agents.
14) Negotiate favourable rates with shipping lines, airlines, transporters and network agents.
15) Assist the HR department in identifying, recruiting, setting of goals and training of staff for the department.
16) Monitor and ensure staff in the department practice and keep to the company policies, guidelines and best practice of the Modern Coast Group of companies.
